Logging In
Step 1
In your web browser go to the following web address: https://home.medialinksonline.com/
Step 2
On the left hand side of the page you can enter your username and password to log in:
If you cannot locate your username or password, please reach out to your FSM or FIC for further support.

Once you have entered your username and password you can click the Login button:

Loading Platform Interface
Upon logging in, Harley-Davidson dealers are immediately directed to the loading screen of the catalogue manager.
If you're loading used models for the first time, your catalogue will be empty.
If you are returning to manage your used models, the loading platform's front page displays all LIVE models in the system. However, this doesn't necessarily indicate they're live on the Certified Pre-Owned website. Further details on how your model gets onto the platform are provided later in this guide.
Catalogue Summary
Now you are logged in and viewing your account, you have access to a catalogue summary displaying all the data you've uploaded to the system. This summary includes live assets, assets lacking images, assets without pricing, etc. It offers a quick fire overview of your data without having to look at each item individually.

Bulk Actions
Bulk actions enable you to make updates to multiple models simultaneously, and can also be applied to single models. Simply select all the models you need and you can update the Status to Live, New/Editing, Deleted or Sold.
To choose the models, you have two options. You can manually tick the box or utilise the menu options at the bottom of the page to:

Select Page: This action selects all models on the current page only. For instance, if you have 5 pages of used models and you are currently viewing page 2, using the "Select Page" button will only select all the models on page 2.

Select All: This action selects every single model, regardless of the page you are viewing.
Please be aware that New/Editing, Sold or Deleted do not appear on the Certified Pre-Owned website. Only models with a LIVE status appear on the website, subject to meeting the programme criteria.
Status
Your catalogue is broken down into status'
Each status is allocated its own page, ensuring the organisation of your stock.
- Live On Website - Live on CPO - Subject to meeting programme criteria
- New / Editing - Newly added models, or models marked as editing
- Sold - Models marked as sold
- Deleted - Models marked as deleted
If you are unable to locate a live model, please check the other status pages.
Search Function
Our search function allows you to find a model, which is especially handy if you have a large amount of stock. You can search by name, VIN, or other model data such as colour and price.
Ordering
Adding a Model
Adding a used model to your bikes' catalogue is a straightforward process. With a combination of written instructions, video demonstrations, and visual screenshots, this user guide will assist you through each step seamlessly.
Step 1
On the right select ‘Add New Vehicle’ to add a new bike to the catalogue.

After selecting Add New Vehicle, the following screen should appear

Input your model name in the Vehicle Title box, such as ‘Harley Davidson Nightster 2022'.

Add your description to the description box.
TIP: Be sure to market your models well. Does your model have factory fitted options? after market accessories? Custom paint? Low mileage? Use this area to showcase the model!

Our system automatically generates a unique SKU number. If your dealership does not utilise SKU codes for stock control, you can disregard this section. However, if your dealership has its own method for managing stock, feel free to input your unique SKU here. Please be aware that the SKU must be unique if you are going to change this, such as ‘001’ or ‘1A1A1A’

Vehicle price should be added to the 'Regular price' box.
Once the above fields are complete, your screen should look like this

The next step is to populate the model data attributes. To do this, please select Attributes

Collaborating with Harley-Davidson in the US, we've established an API connection enabling the lookup of the VIN for all Harley-Davidson models. The VIN lookup provides automated population of most of the required model data for you, significantly streamlining and simplifying the process of loading your stock.
Enter your models VIN number into the lookup box and select 'Lookup'
If your VIN fails to register with the data we receive from the US, an error popup will appear. Please retry and ensure the VIN is correct without any special characters or spaces in your text. If the VIN continues to fail, please contact your FSM for assistance.
If your VIN lookup was successful, the data we store against the VIN from H-D in the US will pre-populate some attributes for the model you are adding. Remaining attributes with * are mandatory.
Please check the data is correct, if the data is incorrect and the VIN for the model is correct, please contact your FSM or FIC.
Step 9
Input the final attributes, this includes Year and Mileage. Both are mandatory and required for the CPO platform.

Next, you need to upload your images. Images are mandatory.
Select choose files.

Choose your images and load them into the system as directed by your device.

The system will automatically select the first loaded image as the 'Main Image'
To change this, go to the additional images area and on the image you wish to make your default image, click 'set default'

Save your changes
You are all set!
The last step is to set your used model live.

After selecting Save Changes for the first time, your model will automatically be saved as New/Editing. To find your model, you need to go here

Locate your model in the list, if you have large quantities of stock, remember you can use the search function

Using the 'Bulk Actions' drop down menu, choose 'Make live on Website' and hit Apply
Extra Information:
An alternative method exists for publishing single models. Please proceed with caution, ensuring your model is fully prepared for publication.
When in the editing screen, under status you will see the following options. You can select 'Save and Set Live'

Editing a Model
You have the ability to edit any model in your catalogue at any time.
There are two methods for editing a model, option 2 is primarily used if you have a live model.
Locate the model you wish to edit. Remember, your model will appear in different areas of the catalogue based on its current status, you can find more information on Status' here
Option 1
You can select the name (in blue) from the list which will take you to the model editing page
Step 1
You have the ability to modify various aspects of the model, including the name, description, price, attributes, and images.
Step 2
After making your adjustments, click on 'Save Changes' to preserve your edits.
Option 2
You can take your live model and place it into editing mode to implement any changes. Select the model and utilise the 'Bulk Actions' dropdown to choose 'New/Editing' and modify the status.
Should you opt for this method, please note that your model will transition from the LIVE status to NEW/EDITING, and you will need to locate the model in the appropriate status catalogue. The vehicle will also be removed from the CPO website if you fail to make your changes within the sync window, more information on that can be found here

Mark a model as Sold
To mark a single model as sold, you have two options: you can either utilise the bulk action feature or visit each listing individually and set the status accordingly.

Select the models you wish to mark as sold

Use the bulk action drop down and select 'Mark as Sold'

Hit apply
Single Model

Open the model
Step 2
Select 'Mark as Sold'
Once a model is marked as sold, it will appear under the status 'Sold' and will no longer be live on the CPO website.
You can republish this model any time, if you wish.
Deleting a Model
To mark a single model as deleted, you have two options: you can either utilise the bulk action feature or visit each listing individually and set the status accordingly.

Select the models you wish to mark as deleted

Use the bulk action drop down and select 'Delete'
Step 3
Hit apply
Single Model
Step 1
Open the model
Step 2
Select 'Delete Vehicle'
Once a model is marked as deleted it will appear under the status 'Deleted; and will no longer be live on the CPO website.
You can republish this model any time, if you wish.
Permanently Delete
If you wish to permanently delete your data marked as 'deleted' from the catalogue completely, this action is final and cannot be restored.
Using the 'Clear deleted vehicles' button will delete ALL models marked with a status as 'deleted'
To perform this action, when viewing your deleted models, you will see the following button

Accept the warning prompt, or cancel if you change your mind.
If you selected OK, your data has now been deleted.
